Your AI Voice Agent can check live calendar availability, book demos and meetings with Google Meet links, check existing bookings, and reschedule or cancel events during live phone calls.

1. Connect Your Google Account

To connect your Google Calendar to a specific AI Voice Agent:
  1. Open your AI Voice Agent from Your Custom Agents in the left menu.
  2. Click on the Integrations tab inside the agent.
  3. You will see the Google Calendar integration card.
  4. Click Authorize to begin the connection.
  5. A secure popup window will open — select your Google account and grant calendar permissions.
  6. Once authorized, the card will show Connected along with your Google email address.
Agent-Specific Connections: Each AI Voice Agent has its own dedicated calendar connection. You can connect different Google accounts to different agents in your workspace.

2. Using Google Calendar in System Instructions

Once connected, activate the calendar tools by mentioning them in your agent’s System Instructions Script.

The AI Agent automatically equips Google Calendar tools whenever your System Instructions Script includes keywords like:
  • google calendar
  • get_availability
  • create_event
  • check_existing_events
  • calendar tool

3. Example System Prompt Instructions

Once your Google Calendar is connected via the Integrations tab, add these instructions to your agent’s System Instructions Script:

4. Timezone & Scheduling Rules

  • Default Timezone: All dates and times spoken during calls or passed to calendar tools are evaluated in Indian Standard Time (IST, Asia/Kolkata, UTC+05:30) by default.
  • Daily Booking Limits: If a daily booking limit is set for your agent, get_availability and create_event will automatically enforce it and prevent overbooking on any given date.

5. Disconnecting or Switching Accounts

To disconnect or switch the connected Google Calendar account:
  1. Go to the Integrations tab for that agent.
  2. Click Disconnect on the Google Calendar card.
  3. Click Authorize again to connect a different Google account.
